  • Every program uses one of two enrollment modes: Open Enrollment, where athletes are enrolled and charged automatically as soon as they finish registering, or Application Required, for invite-only or vetted rosters you build by hand.
  • Choosing Application Required simplifies the program builder — it hides the Requirements and Waitlist steps, since you’re deciding who’s in yourself rather than leaning on automatic eligibility checks or a waitlist.
  • How applicants reach you depends on your plan. By default, an Application Required program shows families a Contact gym form and you place each athlete yourself — there’s no review queue. If your plan has Program Applications turned on, families instead submit a fuller application that’s recorded for you — you still enroll each athlete yourself.

Application Required (rather than Open Enrollment) is meant for competitive teams, invite-only groups, or anything where you want to decide who gets a spot by hand instead of enrolling everyone automatically. What choosing it does. Application Required marks the program as one you’ll manage yourself and streamlines its setup: the Requirements and Waitlist steps drop out of the builder, because you’re not relying on automatic per-athlete eligibility rules or a waitlist to fill spots. How families reach you (default). On your public site, an Application Required program doesn’t let families sign up and pay on their own. Its page shows a Contact gym button that opens a short form for their contact details and the athlete’s name and emails it to you. Follow up however you like, then place the athlete yourself. When Program Applications is enabled. If your plan turns this feature on, the program accepts applications instead: a family completes the required forms and saves a payment method but isn’t charged, which creates a pending application for you to review. Approving it charges the saved card and enrolls the athlete; families can withdraw before you decide. Building the roster. To place an athlete yourself, open their record and choose Enroll in Program. From then on they appear on the program’s Athletes tab like any other enrollment, where you can review their status and compliance — or cancel them if plans change.
