Must know
  • Where and who: Merge Profiles is under Athletes. Merging guardians needs Edit Families, and merging athletes needs Edit Athletes.
  • The survivor keeps its own details and everything on the duplicate moves to it, including enrollments, passes and waiver signatures (and, for guardian accounts, invoices and payments). Guardian account credit balances are added together.
  • A merge can’t be undone. The duplicate is retired, and a retired guardian account can no longer sign in.
  • Some merges need Uplifter support. Your club can’t finish a merge if either account also belongs to another club or holds a staff role at your club, or if the duplicate is an adult athlete’s own login. Send it to Uplifter support and track it on the Requests tab.
Where to start. Open Athletes > Merge Profiles. The page has Possible duplicate guardians, Possible duplicate athletes and Pending requests tiles, and two tabs: Possible duplicates and Requests.
1

Choose the duplicate and the survivor

In the Merge duplicate guardian accounts (or Merge duplicate athletes) dialog, pick the Duplicate (will be merged away) and the Survivor (keeps its details), then click Preview merge.
2

Check the preview

What moves to the survivor lists each kind of record with how many are moved, combined or kept. Nothing has changed yet. If the pair is the wrong way round, click Swap. Then click Continue.
3

Type to confirm

Type the duplicate’s email (guardians) or name (athletes). If two athletes both have guardians but share none, you also tick I have checked that these two profiles are the same child.
4

Merge

Click Merge guardian accounts (or Merge athletes).
What moves when you merge guardian accounts. Everything on the duplicate moves to the survivor: athlete links and family seats, invoices, payments, payment plans, recurring charges, saved payment methods, billing addresses and contacts, the account credit ledger, program enrollments and session registrations, bookings, passes, gift cards, punch cards, waiver signatures, chats and email history, and staff notes about the guardian. Sign-in identities, such as Google, move too. Whose guardian details win. The survivor’s own details win. Blanks fill from the duplicate: phone number, password (only if the survivor has none), photo, saved signature and terms acceptance. Email and SMS opt-outs carry over, but SMS consent is never copied. Account credit balances are added together. What moves when you merge athletes. Guardian links, club roster entries, memberships, passes, punch card and pass punch history, gift cards, program enrollments, competition entries, session registrations and attendance, waivers and waiver signatures, billing line items, payment plans, recurring charges, medical info and skill progress all move to the survivor. Invoices belong to the guardian account and stay there. Whose athlete details win. Blanks on the survivor, such as a birth date, fill from the duplicate. Allergies, medications and conditions from both are kept, and emergency contacts are combined, the survivor’s first, up to the maximum of 5. What happens to the duplicate. It’s retired, not deleted, and the merge can’t be undone. A retired guardian account can no longer sign in. If someone is still signed in on the duplicate, they’re switched to the surviving account. A merged athlete no longer appears on your roster or any guardian’s list. Records of who marked attendance, recorded a payment or wrote a note stay attributed to the retired account. When your club can’t finish it. The preview may show This merge cannot be completed by your club with the reasons, for example a record that also belongs to another club, an account with a staff role at your club, or a duplicate that is an adult athlete’s own login. Click Escalate to Uplifter support. Track it on the Requests tab, where Withdraw request cancels a pending one. You’re emailed when Uplifter support completes or declines it. Families can combine some duplicates. A primary guardian of both athlete profiles can use Combine duplicates in the family portal. Families can’t merge guardian accounts. Those come to you.
