Must know
  • An athlete is one shared person record. Their levels, status, and internal staff notes are held per club — the same athlete can belong to more than one club, each with its own settings.
  • The profile is organized into tabs: Overview, Programs, Attendance, plus tabs that only appear when the matching feature is enabled for your club (Memberships, Competitions, Events, Evaluations, Custom Info, Incidents).
  • Medical information is shared across every club the athlete belongs to — it is not stored separately per club.
The athlete is the heart of your roster: a single person who registers for programs, competitions, and events, and whose attendance, evaluations, and payments all attach to that one record. You manage every athlete from the Athlete Directory and open a full profile by clicking their name. Because one athlete can be enrolled at more than one club, the record separates two kinds of information:
  • Shared, everywhere: the athlete’s name, date of birth, photo, and medical information travel with the person, so an update at one club is visible wherever they train.
  • Per club: their training levels, status, and internal notes belong only to your club. Another club sees its own values.
The profile groups everything into tabs so staff can find what they need quickly. Overview shows guardians, the internal staff note, a medical summary, and the athlete’s signed waivers — each flagged Signed or Expired; Programs lists enrollments; Attendance shows check-in history. The remaining tabs surface only when your club has that feature turned on.
