Must know
  • The profile opens with a header and stat cards — the guardian’s Account balance, Due / overdue, Credits, and Next charge.
  • An outstanding (owed) balance is flagged in red; when the family is in credit it reads Credit available, and a cleared account reads Settled.
  • Opening a guardian’s profile requires the Families view permission.
Open a guardian from the Guardians list (or from any athlete’s Guardians card) to see everything about that family in one place. The header shows their contact details and status; a row of stat cards summarizes Account balance, Due / overdue, Credits, and Next charge; and the detail below is organized into tabs.
  • Athletes — every athlete linked to this guardian.
  • Passes — passes the family holds. This tab always appears; if your club doesn’t use passes, it shows a short note that the feature isn’t enabled rather than hiding.
  • Billing — billing addresses and billing contacts, plus Invoice history with Create invoice and Export. Long histories page through with a “Showing X–Y of Z” count.
  • Account Balance — the running balance and a ledger of credit activity, such as gym-granted credit and refunds to the balance.
  • Payment Methods — cards the guardian has saved through secure checkout.
  • Communication — emails sent to the guardian and their delivery status.
  • Notes — internal notes about the guardian; pinned notes also surface at the top of the profile.
When gift cards are enabled for your club, a Gift Cards tab also appears; unlike Passes, it’s hidden entirely when the feature is off. From the header Actions menu you can edit details, add account credit, send a password reset, or remove the guardian; an invited guardian instead offers Resend invite and Revoke invite. Reading the balance. The Account balance card flags an amount you’re owed as Outstanding in red; when the family holds a credit it reads Credit available, and a settled account reads Settled. Each guardian’s balance also appears on the Guardians list. For creating invoices, processing payments, and other billing actions, see the financials documentation.
