Must know
  • How you open a program depends on status: clicking a Draft opens the full builder, while an Active or Complete program opens its detail page. The gear Configure panel is available on every program card, whatever the status.
  • Some settings lock once a program is in use — your registration-style options narrow once there are enrollments or drop-ins, the billing schedule locks as soon as a paid program has an active enrollment, and you can’t remove a schedule slot that still has active registrations.
  • Only a Draft can be deleted (from inside the builder). Once a program is Active there’s no delete regardless of enrollment count — you Complete it instead, which closes registration for good and keeps enrolled athletes on the roster as a record. Completing can’t be undone.
Find your program under Registrations → Programs.
1

Edit a draft

Click a draft program to reopen the full builder. Move through the steps, change anything, and save — nothing is locked yet because no one has registered.
2

Configure a program

On any program’s card, click the gear (Configure) icon to open the tabbed panel — General, Schedule, Requirements, Waitlist, Staff, and Registration (Requirements and Waitlist can be hidden depending on the program’s enrollment mode). The Billing Schedule lives inside the General tab — there’s no separate Billing tab. Make your changes and click Save Changes. Fields that have locked (registration style, billing schedule, in-use schedule slots) appear but are disabled.
3

Complete (archive) a program

In the Configure panel, click Complete and confirm. The program is marked Complete and its registration closes permanently — it can’t be reopened, so use this to retire a finished program rather than deleting its history. To delete rather than complete, the program must still be a Draft: open it in the builder and use Delete Draft.
Completing a program keeps its roster, sessions, and historical payment records for your reports. Enrolled athletes are marked complete so the roster stays as a record of who took part; their remaining recurring charges and any upcoming per-session registrations are cancelled, and anyone still waitlisted or awaiting payment is removed. To change one occurrence rather than the whole program, edit that session instead.
