Must know
  • Only the numbered line moves. Rows showing a number or Spot available move one place per click.
  • A move changes who is offered the next spot. Automatic promotion takes whoever is first in line. The Joined date never changes.
  • Remove doesn’t refund a fee paid at join by itself. It opens the Cancel enrollment? dialog.
  • Access. Moving and removing need the Edit Athletes permission, on a plan that includes Waitlists.
Where to find it. Go to Registrations > Programs, open a program, and click the Waitlist tab. The # column of the Program waitlist shows each athlete’s place:
1

Move an athlete up or down

On a movable row, click the up arrow (Move up) or down arrow (Move down). Each click swaps the athlete with the one directly above or below. The first row in line can’t move up, and the last can’t move down.
2

Remove an athlete

Click Remove, read the dialog, then click Cancel enrollment, or Keep enrollment to back out.
What a move changes. It changes the place the family sees and who is offered the next spot. Each move is recorded on the athlete’s Activity tab, for example “Enrollment in [program] moved from #3 to #2 on the waitlist”. If a move fails, a message says why (or “Failed to move the athlete”) and the list reloads. A family who leaves and rejoins goes to the back of the line. What the Remove dialog tells you. It warns when the family holds an open offer: “This family has an open offer for a seat; removing them withdraws it.” Staff with View Financials also see any fee paid at join, which removing does not refund: refund the invoice from Financials. When there’s a payment left to refund, staff with Edit Financials also see Also refund this enrollment. What removal triggers. Removing a Spot offered athlete frees their seat, and automatic promotion runs if it’s on. Removing someone who is only waiting frees no seat, so no one is promoted. Session waitlists. Session waitlists have no move arrows. Their Remove asks “Remove from the session waitlist?” (Keep waiting or Remove). The family isn’t charged and can join again. Keep it current. Places shift as families cancel, pay or get promoted. Refresh re-reads the line, and it also re-reads when you come back to this browser tab or window with the Waitlist tab open. What families see. With the program’s Show Families Their Place in Line switch on (the default), the family portal shows Waitlisted with #3 in line or Spot available. With it off, families see just Waitlisted. The Program waitlist header says which: “Families see their place in line” or “Families see Waitlisted only”. The switch is in the program’s Waitlist settings.
