Must know
  • Analytics revenue is before processing fees, so it runs higher than Financial Overview’s Total Revenue.
  • Retention Rate compares today’s active athletes with every athlete your club has ever had.
  • Fill rates count only active programs that have a capacity set.
  • Money figures (Revenue tab, Failing Recurring Charges, Top Programs by Revenue) need View Financials.
How the numbers work. Each tab on Analytics works out its numbers from your club’s data when you open it. Nothing refreshes on its own, so reload the page to pick up new activity. Revenue tab (View Financials only) Why Analytics revenue reads higher than Financial Overview. Both pages add up the same completed payments for the month. Analytics reports them in full. Financial Overview’s Total Revenue subtracts each payment’s estimated processing fee first, so it is usually lower. Neither is wrong: Analytics shows the money you collected, Financial Overview the money you keep. Overview tab. Athletes by Age Group, Athletes by Gender and Athletes by Level count only Active athletes. Athletes by Status counts every athlete by current status. The level chart can add up to more than your athlete count, because one athlete can hold several levels. Active athletes with no level show as Unassigned. Retention tab
  • Retention Rate is active athletes divided by every athlete your club has ever had, so a long-running club reads lower than a new one with the same active roster.
  • Churn This Month counts athletes who joined before this month, are no longer Active, and whose club record changed this month. Any change counts, so editing an inactive athlete’s notes also adds them.
  • Net Growth is new athletes this month minus Churn This Month.
  • At-Risk Indicators shows Failing Recurring Charges (recurring charges with a payment failure, not athletes; View Financials only) and Recent Cancellations (enrollments cancelled in the last 30 days). Each line, and the whole card, hides at 0.
Engagement tab
  • Attendance Rate is the share of attendance marks at this month’s classes that are Present or Late. Absent and Excused marks count against it; athletes not marked yet are left out.
  • Avg Class Size is Present plus Late per completed class this month.
  • Disengagement Warning counts active athletes with no Present or Late mark in the last 30 days, and hides at 0.
  • Class Utilization compares average attendance per class with capacity for the 10 active programs with a capacity set that come closest to full.
Programs tab
  • Avg Fill Rate averages active enrollments against capacity across active programs that have a capacity set. A program with no capacity, or a draft or complete one, is left out rather than counted as 0%. Program Fill Rates charts the 10 fullest.
  • Top Programs by Revenue ranks up to 10 programs by their charges on fully paid invoices, so an invoice still being paid off doesn’t count yet. View Financials only.
Website tab. These cards count visitors to your club website, once per visitor per day. Today’s Visitors compares today with yesterday. Total Visitors adds up the last 30 days and compares them with the 30 before, so someone who visits on three different days counts three times. A card with no visits to count reads “No visitors tracked yet”.
