Must know
  • Only dates are required. With no day or time, the class is saved as Schedule TBD and stays off the calendar. You can still publish it: your club website shows Schedule TBD until you add days and times. Rate-card programs need a time slot before they can be made Active.
  • The count skips closures. The preview leaves out enabled closure days and lists up to 50 sessions.
  • Nothing is locked. Removing a booked day or moving dates after families register opens a dialog asking what happens to them.
  • Overlaps. Same-day slots can’t overlap on Enroll in entire program or Full & Drop-in. Sign up per class allows it.
Where to find it. In Registrations > Programs, use the Schedule step (the Date & Location card) when you create a program. On a saved program, choose Configure from its row menu: a draft reopens the step-by-step wizard, and any other program opens its settings, where you choose the Schedule tab (Edit step-by-step opens the wizard instead). Changing a saved schedule takes the Edit Training permission or full access.

Set the dates

Pick a Start Date and End Date. Use Season Dates fills both from the program’s season, and a warning shows if the program runs outside it. The end date can be at most 10 years from today (not from the start date) and can’t come before the start date.

Choose the days

Set Repeat every N days, weeks, or months, then tap the Days labels (Sunday to Saturday). A day that never falls in your dates is greyed out, and shortening the dates turns off days that no longer fit. One day must stay selected. A day with athletes booked on upcoming sessions shows a count and still turns off.

Set the times

Leave Set different times for different days off for one Start time and End time on every day. Turn it on for slots per day: Add slot adds another, and the day’s menu has Copy to all enabled days. Each slot must end after it starts, and you can’t remove a day’s only slot.

Change times mid-season

With different times on, turn on My sessions change times to give each slot its own start and end date. Blank dates use the program’s. A slot’s dates must run forward and stay partly inside the program’s dates. If slots have dates, turning the switch off, or per-day times off, asks Clear the dates on every slot?

Check the preview

The preview is headed Sessions every enrollee will attend (N), or Bookable sessions (N) for Sign up per class. Past 50 it reads “more than 50”. If a chosen day has no date in range, the preview shows No occurrences in range for that day. If closures can’t be checked, it says so, and the saved sessions may be fewer. On a saved program, the list appears once you change days, times or dates, counting from today.

Pick a location

Location offers No specific location or a facility. After you pick a facility, Spaces (optional) appears, and choosing spaces can set the program’s capacity from theirs.
Overlaps. A clash blocks Next and saving (“Overlapping time slots on …”). With My sessions change times, slots clash only if their dates overlap too. Two programs in one space. Uplifter warns you but never blocks the save. A space that other programs already fill at your earliest time slot shows Fully booked, Full on dates or N date conflicts, and ticking it opens Space Warning with Proceed Anyway. After families register. A change that reaches registered families opens Changing this program’s schedule: keep or cancel booked sessions, set refunds, and choose Email families whose sessions are cancelled and Email enrolled families about the new schedule. The second sends Program Schedule Updated, which must be on in Settings > Communication > Notifications. One-off dates. If Ask Hero is on for your club, it can add a single session for a date outside your pattern once you confirm.
