Must know
  • Store is a plan feature, off by default (Custom Questions also needs the Custom Information feature). Creating a product needs Create Financials (the built-in Accountant role has it), editing needs Edit Financials, and the row Deactivate needs Delete Financials.
  • Products are never deleted: switch Active off, or Deactivate, to hide one. The list shows Active products only until Status is set to Inactive or All.
  • Deactivating a product that a program or purchase condition requires removes it from every rule that requires it, once you confirm Deactivate anyway.
  • Purchase conditions can be added only after the product has been saved once.
Where to find it. Open Store > Products in the admin dashboard.

Open the form

Click Add Product. A side panel titled Add New Product opens.

Name it and describe it

Enter a Product Name (required), an optional SKU (capitalized as you type, unique across all your products, inactive ones too) and a Description.

Pick a category, price and image

Category starts as General; the list is General, Drinks/Snacks, Equipment, Merchandise, Services and any category already in use (you can’t type a new one). **Base Price ()∗∗can′tbenegative,evenwithvariants(leftblank,itsavesas)** can't be negative, even with variants (left blank, it saves as 0.00). Add a Product Image (square, 800x800px works best).

Set inventory

Unlimited Inventory is on by default. Turn it off to track stock with Max Inventory and Current Stock.

Add purchase questions

If your club uses Custom Information, turn on Custom Questions to ask the buyer questions for each item they buy. Required answers must be filled in before payment. Pick at least one question, or turn the switch off, or you cannot save.

Choose a GL code and pickup

GL Code starts on your club’s default product GL code. Choose another revenue code from the list, or No GL code (uses default). Fulfilment Type is always Pickup Only for now. If you have more than one facility, choose a Pickup Facility; you need at least one active facility to save.

Set Active, tax and supply, then save

Active is on by default. Tax Exempt means no sales tax is charged on this product (see how tax is set). Turn on Limited supply if a family who must buy this product to register should be stopped when it is sold out. With it off, they can pay now and the club owes them the item. Click Add Product (or Save Changes).
Purchase conditions. Once the product has been saved, open it again to find a Purchase conditions section. Use it to require that a family has already bought or attended something (and signed any Waivers before purchase) before they can buy this product. Staff can override this at checkout. Click Save Changes to keep the conditions. See require an earlier purchase. Editing. Click a product’s name, or open its row’s Actions menu and choose Edit Product. The menu also has Restock (tracked inventory only, also a button in the Inventory column) and Deactivate, or Activate on an inactive product. Hiding and reactivating. Row Deactivate always asks first: “Deactivate [name]? It stops appearing for sale. You can reactivate it from the product later.” If a program or purchase condition requires the product, a second prompt explains this. Deactivate anyway removes the product from every rule that requires it. Switching Active off and saving shows the same prompt. Activate needs no confirmation. An inactive product is hidden from your club website store and refused at the point of sale. An Accountant cannot use row Deactivate, but can switch Active off and save. Finding products. Use Search products…, or Filters for Category and Status (Active, Inactive, All); Clear filters appears once one is set. If nothing matches, the list says “No products match your filters.” A club with no products sees Add your first product. A toggle switches table and card views. Your search, filters and view are remembered when you come back.
