Must know
- Archiving is not deleting. It takes a pass off sale and leaves every family’s holding untouched: holders keep using it, and paid renewals keep billing.
- A required pass asks first. If a requirement still lists the pass, you choose Stop requiring this pass, Keep it listed, switch the gate off, or Keep requiring this pass.
- Restore pass puts it back on sale. Delete is the action that removes families’ holdings.
- Who can. Available on plans that include Passes, for staff with the Edit Training permission.
1
Archive the pass
Go to Settings > Registration > Passes. Choose Archive pass from the row or card’s actions menu, or from the Status section of the pass’s Details tab.
2
Answer the requirement question, if asked
If a requirement still lists the pass, a dialog titled Archiving [pass name] asks what happens to those rules. Choose an option (none is picked for you) and click Continue, or click Go back to leave the pass on sale. The message Pass archived confirms it, and the status changes to Archived.
Restoring. Choose Restore pass from the actions menu or under This pass is archived on the Details tab. The message Pass restored confirms it’s back on sale. Your requirement choice stays: a removed pass isn’t added back, and a switched-off gate stays off until you turn it on again (for a program, its Pass Requirement switch). Restore first if you want to give a family a complimentary pass, since Issue pass works only on an active pass.
Archive or delete? Archive is reversible and never changes a holding. Delete is permanent: it removes every family’s holding (credits, validity, auto-renewal), detaches the pass from every requirement and pauses achievements that used it.
