Must know
  • The note is internal and staff-only — athletes and guardians never see it.
  • If someone else edited the note since you opened it, saving fails with a conflict and you’ll need to reload; the note shows who last edited it and when.
  • The note is limited to 5,000 characters.
Each athlete has a single internal note on their Overview tab, in the Note card. It’s the place for staff-facing context — reminders, background, or anything your team should know — that stays private to your club.

Open the Note card

Open the athlete’s profile, stay on the Overview tab, and find the Note card.

Write your note

Type into the text box. A line under the card shows who last edited it and when, so you always know how current it is.

Save

Click Save note.
If saving fails with a conflict: this means a teammate saved a change to the same note after you opened it. To avoid overwriting their work, the save is blocked and the latest version is reloaded. Re-apply your edit on top of the refreshed note, then save again. Only staff with permission to view and edit athletes can see or change the note. It never appears in the family or athlete portal.
