Must know
  • Closed days aren’t generated. Enabled closures stop sessions being created on closed days, and the Schedule step’s count already leaves them out.
  • Existing sessions need a tick. Sessions already scheduled are cancelled only if you tick them when adding or enabling a closure. Sessions holding attendance or other records need an extra confirmation.
  • Run anyway. It keeps one program running on a closed date, and appears under Date exceptions on the program’s Sessions tab.
  • What families pay. Flat monthly or term prices don’t change. Per-session and prorated prices count only the sessions left.
Session counts already skip closed days. The Schedule step’s session count and preview subtract closed days, so they match the sessions the save creates. If closures can’t be loaded, the count shows with the note “We could not check closure days, so the saved sessions may be fewer.” Saving still skips the closed days. Which programs a closure reaches. Closures live on Settings > Registration > Holidays and apply by date and location, never per season. A closure covers your entire gym, or the categories, programs, facilities and spaces you pick. A category-scoped closure only applies once the program has that category. Facility and space scope is checked per session, so a class moved to another building is closed only where it runs. Part-day closures and calendar notes. A closure with a Time window (optional) covers only sessions that genuinely overlap it. A class ending exactly when the window starts keeps running. A Calendar note (Closes the gym turned off) closes nothing: no session is cancelled or skipped. Existing sessions wait for your tick. Adding or enabling a closure over sessions already scheduled opens a list: “The following sessions are scheduled during [dates]. Select any you’d like to cancel.” Nothing is pre-selected. Only ticked sessions are cancelled when you confirm with Add Closure & Cancel [N] or Enable Holiday & Cancel [N]. Sessions holding data need a second tick. A ticked session with attendance, evaluations, a paid drop-in, a volunteer, logged coach hours or a hand edit is kept unless you also tick Cancel [N] sessions already holding data. The confirmation says how many were kept because they hold data. Registrations alone don’t protect a session. They show as a badge. Editing, turning off or deleting a closure. Changing an enabled closure’s dates, scope or time window asks both ways: “Newly closed - cancel these sessions?” and “No longer closed - re-add these sessions?” Turning a closure off, or deleting it, offers to re-add the sessions it was hiding. Run anyway and date exceptions. Run anyway on a listed session keeps that program running on that date, through this closure and any later one on the same day. It appears on the program’s Sessions tab under Date exceptions as Runs anyway, surviving every schedule regeneration until you click Remove. A Skipped exception appears there when you cancel a program’s only session on a day by hand. Removing an exception saves the program and regenerates its upcoming sessions. What families pay. Season rollovers. When you roll a season over, the new programs skip days on enabled closures that cover them. Why a future session shows Cancelled. Someone ticked it when adding, enabling or editing a closure, chose Cancel those sessions when changing the program’s schedule, completed the program, or used Cancel session on that one session.
