  • One list for your club’s uploaded files. Settings > Organization > Organization Assets shows the logos, images, and other files your club uploaded for its website, store, and programs, with what uses each one.
  • A file with a place listed in Used by can’t be deleted. Replace or remove it in each of those places first. A delete that goes through can’t be undone.
  • Deleting needs the Edit Settings permission. View Settings is enough to see the list.
Where to find it. Go to Settings > Organization > Organization Assets. Tiles at the top show Total assets, Total size, and Largest kind (the kind of upload taking the most space). Use Search assets… to match a file name or uploader, or the Kind filter to show one kind of upload, such as logos. Reading the list. Click a row to open the file. For the places it tracks, Used by is always current, so once you swap in a new image, such as a product photo, the old file shows Unused unless something else tracked still uses it.
If your club uses punch cards (Financials > Punch Cards), a punch card’s image always shows Unused, even while a punch card uses it. Deleting it removes the image from that punch card.

Pick an unused file

Search or filter until you find it, and check that Used by shows Unused.

Delete it

Open the row’s three-dot menu, choose Delete asset, and confirm with Delete asset. You see “Deleted [file name]”.
If the file is still in use. The dialog warns that the item using it “will have no image until you upload a new one”, but the delete doesn’t go through. Instead, a message says the file is still in use and asks you to remove it from the places using it first. Replace the image on each item in Used by, then try again. An image on a gift card you’ve already sold always counts as in use. Storage. An image counts toward your club’s storage as soon as you pick it, even before you save the form. Deleting unused files frees that space. Nothing listed? A club with no uploads sees “No organization assets recorded yet”. Registration documents and file answers to custom questions, whether uploaded by a family or by staff, aren’t listed here. Images added to a waiver or an email aren’t listed here either.
