Must know
- Every built-in rule can be switched on or off from its row menu, and its wording can be edited and reset to default.
- Some things stay fixed. You can’t change a built-in rule’s trigger, timing, delivery method or recipients, and you can’t delete it.
- One audience setting is yours. Also notify our staff is the only audience setting you can change on a built-in rule.
Where to find it. Go to Settings > Communication > Notifications and open the System Rules tab (your own automations are on Organization Rules). Find the rule and open its row menu: it offers Edit, Send Test and Disable (or Enable). There is no Delete on a built-in rule.
Switch it on or off. Choose Disable or Enable. A message confirms “Rule disabled successfully” or “Rule enabled successfully”, and the Status column changes to Inactive or Active.
Reword it or copy your staff. Both happen in the same editor and are saved together.
Reword it
Choose Edit from the row menu. The editor opens on the Content step, with a Built-in badge beside the rule’s name. Change the Email subject and Email body, then choose Preview to see it with example details.
Copy your staff (optional)
Choose Back to reach the Audience step and tick Also notify our staff: “Sends every staff member a copy whenever this fires. The family still receives it.” Everything else there is read-only, including the recipient list, so you can’t remove one family from a built-in rule.
Save
Choose Next until you reach Review, then Save changes. The rule now shows a Customized badge in the list.
Going back to the original. Open the rule with Edit and choose Reset to default on the Content step. The original wording comes back straight away (“Default wording restored”) and the Customized badge clears, so there is nothing to save.
Who receives it. The Recipients column shows who each built-in rule reaches. Negative Balance Warning, Payout Deposited, Payout Failed, Payout Scheduled, Refund Reversed and Refund Failed go to admins only, and the column reads Admins. You can’t send these to anyone else: here, Also notify our staff still reaches only admins.
Rules that start switched off. Some built-in rules, such as Program Start and Attendance Missed, start as Inactive and send nothing until you choose Enable. What are notification rules and reminders? lists them.
Automatic emails. Receipts, invitations, sign-in codes and similar emails also sit on System Rules and switch on and off the same way. Edit on one opens a simpler editor: just the message, Save wording, and Reset to default once you’ve changed it. See Which emails does Uplifter send automatically?.
Switching off Chat message notification stops chat emails to families who read chat by email, but staff and coaches still get theirs. While it’s off, a Web & Email chat message to a family fails with “Chat email notifications to families are switched off in Notifications settings.”
Who can do this. Editing, switching and testing a rule need the Send Communication permission. Viewing the list needs View Communication.
