Must know
  • You need a guardian who already exists in your club. The athlete joins that guardian’s family as soon as you click Create, with no approval step.
  • Choose the family and relationship. Pick the family (only asked when the guardian has more than one) and the relationship (Child is the default). Create stays disabled until this is set.
  • You can also add an athlete from a guardian’s profile. Birth date is required there.
  • Saving needs the Create Athletes permission. New athletes start as Active.
Where to find it. Go to Athletes > Directory and click Add Athlete. A side panel titled Add New Athlete opens.

Enter the athlete's name

Fill in First Name and Last Name. Date of Birth is optional here, and future dates are blocked.

Choose the guardian

Search the Guardian picker. It lists guardians already in your club, including invited ones, but never creates one. If you can’t find them, add or invite them first from Athletes > Guardians > Add guardian.

Set the family

A block appears under the guardian:
  • Family: shown only when the guardian belongs to more than one family they can add athletes to. A guardian with no family gets one automatically when you pick them.
  • Relationship to [guardian name]: Child (the default), Parent, Mother, Father, Guardian, Partner, Friend or Other. For Other, enter a Relationship description (up to 100 characters).
  • Change person: sets the relationship to a different family member instead. Shown when the family has more than one member.
While it loads you see “Loading your families…”. If it fails you see “Families could not be loaded. Please try again.” with Try again. A guardian whose own athlete profile shows they are under 18 can’t have athletes added, so you see “Your family is not ready. Refresh and try again.” Create stays disabled in each case.

Pick levels

Levels is a searchable multi-select. It appears only when Training is on for your club and at least one level exists.

Save

Click Create. You see “Athlete added successfully” and the athlete appears in the directory as Active. Their Activity tab records that they were added.
If something goes wrong. Saving is refused with “The selected guardian is unavailable” when the guardian’s account is inactive or merged. Without the View Families, View Communication or View Financials permission, the picker shows “Couldn’t load guardians. Try again.” Saving is refused without Create Athletes, though Add Athlete shows for all staff. From a guardian’s profile. Go to Athletes > Guardians, click the guardian to open their profile, go to the Athletes tab and click Add athlete. The dialog asks for First name, Last name, Birth date (required), an optional Gender, Levels and the family block. Click Add athlete to save. Added on your club website. When a guardian adds an athlete on your club website, the athlete appears in your directory right away, not only after a first purchase, and joins that guardian’s family with no approval.
