  • What the panel changes. First Name, Last Name, Date of Birth, Status and Levels. It doesn’t change the athlete’s guardian: family connections are managed from the athlete’s Family section.
  • Permission. Saving any change, and adding, re-cropping or removing the photo, needs the Edit Athletes permission. Without it, a save is refused with “Only staff can change club-specific athlete fields”.
  • Who sees the change. Status and levels apply to your club only. Name, date of birth and photo are shared with every club the athlete belongs to.
  • Photo size. Photos over 5MB are refused when you click Save in the crop step.

Open the edit panel

On the Athlete Directory, open a row’s menu and choose Edit Details. Or click Edit Profile at the top of the athlete’s profile.

Update the details

Change First Name, Last Name, Date of Birth, Status (Active, Inactive, Trial or Graduated) or Levels. Levels appears only when Training is on and your club has at least one level. Future dates of birth are blocked.

Save

Click Save Changes. You see “Athlete updated successfully”. If the save fails, the reason shows and the panel stays open.
Names. First Name is required. A blank Last Name is refused when you save. Names are trimmed and repeated spaces are collapsed. Family connections. The Family access box in the panel has a Review family connections link. It closes the panel and jumps to the Family section of the athlete’s profile, which shows the people connected to the athlete. Family managers approve membership and athlete access from their own Family page. After a date of birth change. Age-based waivers are re-checked. If a waiver newly applies, the first family contact who can sign waivers is emailed the list. Adding or changing the photo. On the athlete’s profile, click the photo (a camera icon shows on hover) and pick an image. In Crop Profile Picture, use Zoom or Reset crop, then click Save (“Profile picture updated”). Once a photo exists, Re-crop photo and Remove photo buttons appear on it. Remove asks “Remove profile picture?” and you confirm with Remove. Non-image files are refused, and files over 10MB are stopped right away. Merge duplicate. Staff with Edit Athletes also see Merge duplicate beside Edit Profile. It opens Merge Profiles with this athlete as the duplicate. Changing gender. The athlete panel has no gender field. On a guardian’s profile, open the Athletes tab and click the pencil on an athlete row. Edit profile has First name, Last name, Date of birth, Gender (Male, Female, Other, Prefer not to say) and, when your club uses levels, Levels. Both names are required there. This is the only place staff can change gender. Activity. Saved changes to name, date of birth and status show on the athlete’s Activity tab (see How do I see who changed an athlete’s details?).
