  • Uplifter now sends the waitlist emails automatically — they’re built in and turned on for every club, with nothing to set up.
  • Their wording and timing are managed by Uplifter, so they’re locked: you can preview an email or send yourself a test, but you can’t rewrite the copy.
  • All of them go to guardians by email.
Uplifter sends families four automatic emails across the waitlist journey:
  • Waitlist Join Confirmation — sent the moment an athlete is added to a waitlist, so the family knows they’re in line.
  • Waitlist Promotion — sent when a spot opens and the athlete is moved into the program (for paid programs, once the charge clears).
  • Waitlist Payment Failed — sent when a promotion charge doesn’t go through, prompting the family to pay within 24 hours to keep the spot.
  • Waitlist Payment Expired — sent when that 24-hour window lapses and the spot is released.
Where to find them. Go to Settings → Communication → Notifications and open the System Rules tab. Each waitlist email is listed there and shows as Active. Open one to preview the exact wording, or use Send Test to email yourself a copy. They’re locked. These are system rules — their subject, body, and timing are set by Uplifter and can’t be edited, so you’ll see View rather than Edit. Avoid adding your own rule for the same event, too: a duplicate rule would send families two copies of the same email. If the built-in wording doesn’t fit your club, reach out to Uplifter support.
