  • Session waitlists appear for programs that let athletes sign up for individual sessions (drop-in) — and are listed separately from the main program waitlist.
  • Promoting from a session waitlist registers the athlete for that one session at no charge.
  • You can promote by hand, but session waitlists also auto-promote: with Automatic Promotion on, cancelling a registered athlete’s session spot moves up the next session-waitlisted athlete.
Any program that lets athletes sign up for a single session — a By Class program, or a Full & Drop-in one — can have athletes waiting for individual dates rather than for the whole program. Those show up in a Session waitlists section on the Waitlist tab. Don’t rely on the program’s Overview label to tell which programs qualify: a By Class program reads Drop-in / Per Session there, but a Full & Drop-in program still shows Full Program even though it can have session waitlists too.

Open the Waitlist tab

Go to Registrations → Programs, open the program, and click the Waitlist tab.

Find the Session waitlists section

Below the main Program waitlist card, look for Session waitlists — “Athletes waiting for a spot in individual sessions.” Each session that has a waitlist is listed with its date and time, and the athletes waiting for it in join order.

Promote for that session

Click Promote next to the athlete on the session you want to fill. They’re registered for that single session right away.
Session promotions never trigger a card charge — promoting registers the athlete for that one session at no cost, unlike full-program promotion. One prompt can still appear, though: if the session is already at or over capacity, you’ll see an over capacity confirmation with a Promote anyway action before the promotion completes. Promoting doesn’t have to be manual. If the program has Automatic Promotion on, cancelling a registered athlete’s spot in a session automatically moves up the next session-waitlisted athlete — the same toggle that drives full-program auto-promotion. If a program has no per-session waitlists, the Session waitlists section simply won’t appear. This is distinct from promoting someone into the whole program, which uses the main Program waitlist list and charges the program price.
