Must know
  • New evaluations start Unpublished. Families can’t see them until someone publishes them.
  • Publishing needs the Publish Evaluations permission, which the default Coach role doesn’t include. Without it, ask your office to publish.
  • Some report card templates publish on their own: as soon as you submit (the picker says so), or once the evaluation is a set number of days old.
  • Editing a published evaluation unpublishes it, unless you have Publish Evaluations and choose Save and keep published.
Who can publish. Record Evaluations lets you record and edit scores. Publish Evaluations makes evaluations visible to families. The default Coach role has only the first. If you see Publish or Unpublish on your batch, you have it. If not, unpublished cards read “This evaluation is not visible to the family. A staff member with Publish Evaluations permission can publish it.” Ask your office to publish it (review and publish evaluations) or to add the permission (staff roles and permissions).

Open the batch

Go to Evaluations (Evals on a phone) and tap the batch. Each athlete card shows Published or Unpublished.

Publish

Tap Publish on one athlete’s card, or Publish all for every unpublished card in the batch (“Evaluations published”).

Take one back if needed

Tap Unpublish on a published card (“Evaluation unpublished”). On a days-old template, an evaluation already past that age publishes again overnight.
Report cards that publish on their own. Your office sets When families see these evaluations on each template (evaluation templates): The office can also turn on Show unpublished evaluations to families as drafts: families then see recorded evaluations with a Draft badge. If you edit a published evaluation. Save changes opens “Save changes to a published evaluation?”. Save and unpublish unpublishes it until someone reviews the changes. Save and keep published appears only if you have Publish Evaluations. On a template that publishes as soon as it is recorded, saving changes to an unpublished evaluation publishes it. Where waiting classes show. On Evaluations, a collapsed “N classes waiting to be published” section lists ended classes from the last 90 days with everyone who attended scored but some report cards unpublished (“N report cards waiting”). A class leaves once all are published. What publishing changes for the family. The family can open the evaluation and its Score out of 10, and it counts on their Skill progress page. The evaluation email goes out only once an evaluation is both published and complete (Excellent, Pass or Satisfactory), so an evaluation marked Retry sends no email. If an edit keeps an evaluation published and makes it complete for the first time, the email goes out then. Evaluations recorded before this setting existed are already visible to families. What doesn’t wait. An unpublished evaluation still counts toward achievements, and your own Skill progress view of the athlete includes it, marked Draft in the attempt history.
