# How do I add a staff note to a guardian?

> Add, pin, edit and delete staff-only notes on a guardian's profile, and the permission each action needs.

  **Must know**

  * **Notes are staff only.** They live on the guardian profile's **Notes** tab and never appear in the family portal.
  * **Pin to top** keeps a note above the tabs every time the profile opens.
  * **Adding, pinning, editing and deleting need Edit Families.** A deleted note can't be recovered.
  * **Each note holds up to 5,000 characters.**

**What it is.** The **Notes** tab holds a running list of notes under **Admin notes**, not a single note field. Pinned notes come first, then the newest.

    Go to **Athletes > Guardians**, open the guardian, and select the **Notes** tab.

    Type in the **Add a note (visible to staff only)…** box, up to 5,000 characters.

    Select **Add note**. You see **Note added**, and the note shows your name and the time.

**Pin a note.** Open the note's **⋯** menu and choose **Pin to top**. The note stays in the list and also shows as a card under **Pinned notes** above the tabs, so anyone who opens the profile sees it first. You can pin more than one. To unpin, choose **Unpin** from the menu or select the unpin icon on the card.

**Edit a note.** Choose **Edit** from the menu, change the text and select **Save**. The note then carries an **edited** tag with the time of the change. Pinning or unpinning doesn't count as an edit.

**Delete a note.** Choose **Delete** from the menu. **Delete this note?** warns that this can't be undone. Select **Delete** to remove the note for good.

**Who can do this.** Opening the profile and reading its notes needs **View Families**. Adding, pinning, editing and deleting need **Edit Families**. A teammate without it still sees the note controls, but the action is refused with an error.
